Downloading Zoom or using Zoom web client

We use the Zoom application as the platform for the conference. You can either download zoom to your device (recommended) or use the Zoom web client that has limited features and functions best on Google Chrome, Mozilla Firefox, and Chromium Edge browsers.

Progression of the conference

The conference takes place in three separate rooms, which can be joined through three separate links. Please check the rooms of the sessions you’re about to participate from the program. NB: The links for the rooms are different on thursday and on friday, so make sure that you’re clicking the right days link. You can join the room of your choice by clicking the link address for the room. You can only participate in one room at a time. To change the room and move between the conference rooms end the current meeting you are in by clicking the red end-button and then join another room by clicking that room’s link address.

Please note that due to network connections and the large number of Zoom users, delays in moving between rooms are likely! To make transitions as smooth as possible and to avoid distress caused by possible delays, move between the rooms in the beginning of the breaks. By doing so, you will also have some extra time to solve any technical problems, or contact us for support, before the beginning of the next conference program.

 

Participate in the discussion

When you first sign in to the conference rooms, your microphone is automatically muted and your camera is turned off. We wish that you keep your microphone muted whenever someone else is speaking to avoid overlapping noise. We encourage you to keep your camera on if it feels comfortable to you and your internet connection allows it. Keeping the camera on increases the interaction of performers and other participants. 

The conference is international, so most of the presentations, artistic performances and discussions are in English. We kindly encourage everyone to participate even if your English isn’t perfect. It is also possible to ask questions and comment in Finnish, whereupon the chairperson will help you with translation. 

During the plenary presentations, participation in discussion takes place via two different functions: ”Raise your hand” and the Chat.

Raise your hand: If you want to ask the speaker a question, comment on the presentation or participate in the discussion, please refer to the Raise your hand -function. Click the ”Raise your hand” icon and then wait for the chairperson to ask you to speak. You can then unmute your microphone. Remember to mute your microphone when your commenting is over. You’ll find the ”Raise Your Hand” -function from the Chat window. First open the chat. You can raise your hand by clicking the Raise Your Hand icon. You can now see the raised hand icon next to your name on the ”Participants” list. You can lower your hand by clicking the hand icon again. The chairperson will try to keep up with the order of the hand raises, but please note that all hand raises may not be answered during the sessions. You can also write your questions or comments to the live chat.

Chat: During the presentations, you can write comments, thoughts and questions to the live chat. The chairperson will select and present questions and comments to the speakers and performers when possible. Please note that through the chat you can also discuss in real time with other conference participants and share your thoughts and ideas raised by the presentation! The presenters will also have the opportunity to read these comments and participate in the discussion themselves after their presentation. You can open the Chat by clicking the chat icon on the bottom of your screen. The chat view opens on your screen and you can follow the conversation and write messages to the chat field. Please note, that all the other participants can see the messages you’ll post to the chat.

If you have a headset, we recommend using it. It can help with concentration, as well as prevent the circumvention of sound or the transmission of background sounds to the rest of the conference audience. However, it is inherent to an online conference that participants’ home life can be seen or heard in the background – so no need to worry about this!

 

Tips on ensuring the smooth running of the conference and what to do if technical problems occur

In case of unexpected problems occurring during the conference, please check your email and our social media channels (Facebook: the conference event site and instagram: @ylataso). We use them for informing what to do. 

 

Check out these issues

– Zoom works best through its own application: download Zoom to your computer, ideally before the conference

– Check your device’s microphone and speakers in advance to make sure they are functioning

– If many people will participate in the conference in the same physical room, we recommend that you pay special attention into muting the microphones whenever you’re not speaking. You can also participate using only one device, but make sure that when you’re asking to speak, the person speaking is close enough to the microphone so that everyone can hear.

 – Join the appropriate plenary session or parallel online workshop room well in advance

 – Join to the room you want to participate in after the break, or in the beginning of the break (if possible)

 – If you get disconnected or dropped in the middle of a session, rejoin via the room links

– Check your internet connection: Slow or congested internet connection can result in interruptions in audio and video. You can decrease the congestion by turning off your video. Unfortunately, if there are problems with the internet connection, the organizers cannot do anything to help.

 

Technical support will be available during the conference

Please note that the conference organizers focus primarily on ensuring the smooth running of the presentations. Thus, there may be delays in responses. However, we will respond as soon as possible, and we will do our best to help you with any problems that may arise.
